Soundhouse ONE Terms of Use

1. About these terms

These Terms of Use describe how Artists, Parents and guardians, Producers, and Administrators may use Soundhouse ONE, the private application operated by Chapman Music Inc., doing business as Caleb Chapman's Soundhouse. They govern app access when you expressly accept them. Reading a policy or continuing an existing session does not record a new acceptance.

Soundhouse ONE supports program schedules, announcements, acknowledgements, band information, rehearsal attendance and notes, assignments, Handbooks, and authorized music resources. These terms address use of the application. Enrollment, tuition, cancellation, touring, and media-release arrangements remain governed by the separate agreements that apply to those activities. App access does not promise a place in a program or change a payment obligation.

2. Accounts and access

Use only your own authorized account. Keep passwords and invitation links private, provide accurate account information, and tell Soundhouse promptly if an account or family relationship is wrong or may have been compromised. Contact the team for corrections you cannot make yourself.

Soundhouse assigns access according to your role, band responsibilities, and verified family relationships. Seeing a record does not permit you to share it outside its intended audience. Do not use someone else's account, attempt to bypass permissions, or access another person's records without authorization. Access may change when your role or relationship to a band or Artist changes.

3. Young Artists and guardians

Parents and legal guardians should help younger Artists understand safe use of the app and the information they share. A Parent account may show information about the Artists linked to that account; it does not provide access to unrelated families.

Parents and guardians should contact Soundhouse before a child begins using an individual account. Where parental consent is required, it must be obtained before the related collection or use of the child's information. A child's checkbox, an invitation, or a staff-entered family link is not proof of verified parental consent. Soundhouse ONE does not currently provide an automated parental-consent verification process.

4. Schedules and responsibilities

Use Soundhouse ONE to check the current program schedule and your assigned responsibilities. Dates, locations, and calls may change. Report apparent errors to the team and follow any urgent instructions issued by authorized staff.

An acknowledgement records your response to a notice. Marking an assignment complete records your response about that assignment; it is not a certification by Soundhouse. Attendance entries may be corrected by authorized staff with a recorded reason. Contact the team if a record is inaccurate.

Do not rely on app notifications as an emergency service. For immediate danger, contact emergency services; for urgent program issues, use the Soundhouse contact channel given by the team.

5. Respectful use and information about others

Use the app for legitimate Soundhouse activities. Do not harass others, post unlawful or harmful material, impersonate someone, upload malicious files, disrupt the service, or redistribute private information.

Share only information needed for the task. Do not put passwords, payment-card details, government identifiers, or sensitive medical information into rehearsal notes, assignment responses, or general uploads. Ask the team for the appropriate channel when sensitive information is necessary.

6. Your content and music resources

You retain the rights you hold in content you submit. You give Soundhouse permission to store, display to authorized audiences, and otherwise process that content as reasonably necessary to operate the app and deliver the related program activity. This permission is limited to those purposes and is not a general marketing or publicity release.

Submit only content you have permission to share, including any information about another person. Music, charts, recordings, and Handbook materials may belong to Soundhouse or other rights holders. Use them only within the permissions attached to the material. Access through the app does not grant permission to publish, sell, or distribute a copy or share a private file link.

7. Notes, recording, and automated suggestions

A private rehearsal note is intended for authorized staff access; it is not a confidential communication solely between the writer and Soundhouse. Deliberately shared notes may be visible to authorized Artists or Parents. Check the audience before sharing.

The current note-suggestion tool identifies possible follow-up work for a Producer to review. A suggestion is not an approved assignment or announcement until a person takes the required approval action.

These terms do not authorize recording people, using their voice or image for publicity, sending their information to a new AI service, or enrolling them in marketing. Any such feature or purpose requires the applicable notice, permissions, and review before it is introduced.

8. Availability, account restrictions, and leaving

The app may be unavailable during maintenance or service interruptions. Keep another way to contact the team for time-sensitive needs. Report errors rather than trying to bypass a security control.

Soundhouse may restrict access to address misuse, security concerns, or a change in authorized participation. Contact the team if you believe access was removed in error. Ending app access does not by itself cancel enrollment or erase records that must be retained for an ongoing program, security, or applicable legal purpose. Requests to close an account or review or delete information can be sent to the contact below.

9. Changes, applicable rights, and contact

When these terms change materially, Soundhouse will identify the new version and explain whether fresh acceptance is needed. Earlier acceptance records remain associated with their original versions. Merely viewing updated terms does not record agreement to them.

Nothing in these terms removes rights that applicable law does not permit us to waive. These app terms do not add a mandatory arbitration agreement, class-action waiver, or general marketing release. Separate enrollment and media agreements continue to govern their own subjects.
